2. Introduction
With this privacy policy, we inform you about which personal data we process when you visit this website (latikansolutions.de) and when you use our contact channels, for what purpose this happens, and what rights you have in this regard. Personal data is any information that can be used to identify you, directly or indirectly.
3. Hosting & Technical Infrastructure
This website is operated on our own, self-managed virtual server (VPS) and served directly from there. We lease the server infrastructure from Hostinger International Ltd. When you access the website, the web server automatically creates log files that may contain, among other things, the IP address, date/time of access, file accessed, browser type, operating system and referrer URL.
The log files serve to ensure trouble-free operation and to defend against attacks, and are not combined with other data sources. They are automatically deleted after 7–14 days. The legal basis is Art. 6(1)(f) GDPR (legitimate interest in a secure and stable website operation). A data processing agreement pursuant to Art. 28 GDPR is in place with Hostinger.
4. Contacting Us & Inquiries
If you contact us by email or via a contact/inquiry form (e.g. to arrange a demo of the suite), we process your details (e.g. name, email address, company, message text) exclusively to handle your inquiry. The legal basis is Art. 6(1)(b) GDPR (initiation of a contract) or Art. 6(1)(f) GDPR (legitimate interest in responding to inquiries).
Your data will not be passed on to third parties without your consent and will be deleted once it is no longer required to process your inquiry, unless statutory retention obligations require otherwise.
5. AI-Assisted Handling of Inquiries
To help us review, prioritize and respond to incoming inquiries, we use AI-assisted support systems, including language models from Anthropic (Claude), OpenAI and Google. In this process, the content of your inquiry (e.g. message text, contact details) may be transmitted to the servers of these providers so that a draft for handling or responding can be prepared.
The final decision on the content of any response, as well as every business decision, is in every case made by a human — there is no automated decision-making within the meaning of Art. 22 GDPR. Data processing agreements pursuant to Art. 28 GDPR are in place with the providers named above, forming part of their respective business/API terms of use. The legal basis for processing is Art. 6(1)(f) GDPR (legitimate interest in a fast, careful handling of your inquiry) or Art. 6(1)(b) GDPR, insofar as the inquiry serves to initiate a contract.
6. Cookies & Consent Management
Our website uses cookies. Technically necessary cookies are set on the basis of Art. 6(1)(f) GDPR. For non-essential cookies (analytics, marketing) we obtain your explicit consent pursuant to Art. 6(1)(a) GDPR via a consent banner — not pre-checked, with "Reject" reachable just as easily as "Accept".
You can withdraw your consent at any time with effect for the future — most easily via the "Cookie Settings" link in the footer of this website, which reopens the consent banner. When you switch to "Necessary only", any tracking cookies already set are deleted.
We log the choice you make in the consent banner in anonymized form (time, choice made, banner version, approximate country) on our own infrastructure, in order to be able to demonstrate the granting or withdrawal of consent (accountability obligation under Art. 7(1) GDPR; legal basis Art. 6(1)(c) and (f) GDPR).
7. Our Own Cookie-Free Traffic Measurement
To improve our offering, we additionally measure the use of this website with our own, cookie-free analytics solution ("Codex Analytics Beacon"), which runs on our own server infrastructure (endpoint: cms.latikan.com). For blog articles, an anonymous "view" event (article slug, timestamp) is transmitted when the page is loaded, as well as, optionally, a "click" event for selected links.
No cookies are set and no cross-page or cross-device usage profiles are created. The data remains on our own infrastructure and is not passed on to third parties. The legal basis is Art. 6(1)(f) GDPR (legitimate interest in privacy-friendly traffic measurement without third-party trackers). You may object to this processing at any time (Art. 21 GDPR), e.g. by email to info@latikan.de.
8. Analytics & Marketing (Google Analytics, Meta Pixel, LinkedIn Insight Tag)
As soon as you consent to the use of analytics or marketing cookies via our consent banner (Art. 6(1)(a) GDPR), the following services may be loaded:
- Google Analytics 4 (Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland) — traffic measurement, cookie lifetime up to 2 years, data transfer to the USA based on the EU-US Data Privacy Framework (Art. 45 GDPR) as well as supplementary standard contractual clauses. As long as none of the above IDs are configured, the respective service is not technically loaded — not even after consent. Once IDs are configured, we will update this section accordingly. You can withdraw your consent at any time via the footer link "Cookie Settings".
9. Processing in Connection with Software Use (Suite Customers)
Customers who use modules of the LATIKAN Solutions Suite (e.g. Cladly, Pylon, Faktura, Atlas, Tresor, Agora, Obelisk, Pharos) generally process their own data as well as data belonging to their own end customers or employees (e.g. order data in Cladly shops, invoice data in Faktura) in doing so. For this data, the respective suite customer is themselves the controller within the meaning of the GDPR.
LATIKAN Solutions acts as a processor (Art. 28 GDPR) in this context. A separate data processing agreement (DPA) is concluded with each suite customer for this purpose, governing the scope, nature and purpose of the processing, technical and organizational measures, and the rights and obligations of both parties. The DPA forms part of the respective usage agreement.
10. Retention Period
We store personal data only for as long as necessary for the respective processing purpose or as required by statutory retention periods (e.g. commercial and tax law retention periods of 6–10 years). Server log files are deleted after 7–14 days, inquiry data after the inquiry has been handled, unless a retention obligation applies.
11. Your Rights as a Data Subject
Under the GDPR, you have the following rights against us as the controller:
